General Summary:
The Administrative Assistant to the Director of Facilities works under the supervision of the Director of Facilities and assists other department staff in daily activities and tasks as requested.
Principal Duties and Responsibilities:
- Maintains, oversees, and schedules facility use for all district facilities.
- Maintains records of facility use and assists others with the program.
- Creates, emails, and tracks facility use invoices.
- Coordinates payment of facility use invoices and overdue invoices with Accounts Receivable.
- Prepares weekend facility use reports.
- Prepares work requests for tables, chairs, tarps, and other equipment as needed for events.
- Coordinates athletic facility usage with Athletic Directors, the LEAP Office, and site managers.
- Coordinates door programming with school sites.
- Greets and assists visitors and answers telephone.
- Makes changes to work orders as needed or requested.
- Assists Director as needed.
- Schedules substitute custodians as requested.
- Organizes, catalogs, files, and maintains blueprints/floor plans/site plans.
- Opens and distributes mail.
- Coordinates and schedules meetings for Directors as needed (electronic calendars).
- Maintains office supplies.
- Provides updates of Material Safety Data Sheets (MSDS).
- Performs other duties as assigned.
Knowledge, Skills and Abilities Required:
- College degree and/or previous relevant work experience required.
- Advanced knowledge of computers and technology.
- Ability to type a minimum of 40 wpm accurately.
- Excellent organizational skills with emphasis on details and time management.
- Excellent public relations skills.
- Ability to deal with injuries.
- Knowledge of math and accounting principles.
- Analytical ability necessary to gather and interpret data.
- Demonstrates proficiency in spelling, grammar, and information technologies.
- Dependable, reliable, and protective of sensitive/confidential information.
Knowledge, Skills, and Abilities Preferred:
- CPR and first aid preferred.
Physical and Mental Requirements:
- Must be able to report on a regular and consistent basis.
- Maintain consistent and punctual attendance.
- Duties include frequent walking and physical activity, as well as use of hands and arms for signaling and light lifting/carrying. Must have the ability to move about the classroom/building and school property, including bending, pushing/pulling, lifting, twisting, climbing, stooping, or crouching to complete work-related tasks with and without students.
- The ability to listen and effectively orally communicate information and ideas to a diverse population.
- Ability to effectively discern information and formulate appropriate action(s).

Environmental Conditions:
Incumbents work in indoor environments with moderate to loud noise levels. Duties may be completed in cold and hot temperatures, including work on slippery and/or uneven surfaces. Work environment includes working around students, school equipment, and office equipment.
Work Schedules:
Must be available to report throughout the calendar year on a consistent basis.
